Clients who arrive with phrases in random notebook pockets force us to spend session time on archaeology. We would rather spend that time on the second pass.
Our preferred binder layout uses three sections: metal reference card in a stiff sleeve at the front, master paper copy in the middle, and heir instructions at the rear separated by a blank sheet. Number every page in the master section with pencil โ not pen, so corrections remain visible.
During the read-aloud, the reconciler calls the page number before each word. If you hear “page four, word seven” and your thumb is on page five, we stop immediately. That pause is cheaper than logging a false discrepancy.
Bring a paperclip for each duplicate copy you do not intend to reconcile that day. Clipped copies stay in your bag. Only active artifacts sit on the table. This single habit has prevented more than one accidental cross-reading between siblings’ notebooks.
